Whistleblowing and Complaint Reporting Channel
1. Purpose and Principles
myHR Corporation Co., Ltd. (“the Company”) is committed to conducting business with integrity, good corporate governance, personal data protection, and transparency.
To enable employees, customers, partners, and all stakeholders to report any misconduct, wrongdoing, illegal acts, or violations of the Company’s policies with confidence, the Company has established this Whistleblowing and Complaint Reporting Channel with the objectives to:
- Provide opportunities for stakeholders to report incidents that may negatively impact the Company.
- Investigate and resolve issues fairly, transparently, and thoroughly.
- Strengthen the Company’s governance framework and social responsibility on a sustainable basis.
2. Whistleblower Protection and Confidentiality
To protect the rights of whistleblowers who provide information in good faith, the Company shall:
Confidentiality
- Keep all personal information—for example, name, address, email, phone number, and any identifying details—strictly confidential.
- Restrict access to disclosed information only to authorized personnel responsible for investigation and complaint handling.
Non-retaliation
- Ensure that no whistleblower acting in good faith shall face retaliation, dismissal, demotion, discrimination, or any adverse consequences as a result of filing a report.
Disclosure of Information
- The Company will not disclose the whistleblower’s identity or information to unauthorized persons, except where required by law.
3. Matters Eligible for Reporting
Whistleblowers may submit reports or complaints when they observe or reasonably suspect behaviors such as:
- Fraud, corruption, bribery, or solicitation of improper benefits
- Misuse of the Company’s assets or resources
- Violations of applicable laws (e.g., labor laws, PDPA, data security regulations)
- Unfair treatment toward employees, customers, or partners
- Violations of Company policies, codes of conduct, or internal rules
- Actions that could harm the Company’s reputation
All reports received will be forwarded to the appropriate Executive Committee or Governance/Risk Committee (subject to internal structure) for investigation and resolution.
4. Reporting Guidelines
To facilitate an effective investigation, whistleblowers should provide clear and complete information, including:

- Contact details (email / phone number)
Incident Details
- Subject or nature of the complaint
- Date, time, and location of the incident (if known)
- Individuals or departments involved
- Description of behaviors or actions observed
Supporting Evidence (if any)
- Documents, images, chat messages, emails, or other relevant information
If the whistleblower wishes to remain anonymous, the Company will proceed with the investigation to the extent possible based on the information available. Clear and sufficient details, however, will enable a more accurate and timely investigation.

6. Investigation and Response Process
- The Company will acknowledge and review the complaint, conduct a preliminary assessment, and assign the matter to the responsible parties for investigation.
- Where necessary, a special task force or an independent external unit may be appointed to ensure transparency and fairness.
- Upon completion of the investigation, the Company will take appropriate corrective actions, such as disciplinary measures, operational improvements, or policy revisions.
- Whistleblowers who provide contact information will be notified of the progress or the outcome as appropriate.
